Why not just write it on a napkin or use a free template?

You could — there's no mandated format in Ontario. A handwritten note or free template can technically work for registration, as long as it has the basics: names, vehicle details, sale price. But a bill of sale isn't just for ServiceOntario — it's your legal protection after the sale. Free templates typically don't include an as-is clause, an odometer declaration, or seller representations. Without those, the seller has no defence if the buyer comes back claiming the car had undisclosed problems, and the buyer has no proof of what was promised at the time of sale. What is the Used Vehicle Information Package (UVIP)?

The UVIP is a separate document that sellers in Ontario must provide to buyers for private vehicle sales. It contains the vehicle's registration history, lien information, and fair market value. Why not just use the back of the UVIP to record the sale?

If you've purchased a UVIP, it does include a place on the back to record a sale. It covers the bare minimum for registration. The problem is, it's missing key clauses that protect you as a seller — there's no as-is clause, no odometer declaration, and no seller representations. If a dispute comes up after the sale, those are the things that actually matter. It can also be easy to fill in incorrectly, which could get you rejected at ServiceOntario as a buyer. How much tax will the buyer pay?

The buyer pays 13% RST (Retail Sales Tax) when registering the vehicle at ServiceOntario. The tax is calculated on the greater of the purchase price or the Canadian Red Book wholesale value — this prevents tax avoidance through artificially low sale prices.

What does "As Is" mean?

In Ontario, private vehicle sales are typically sold "as is" — meaning the vehicle is sold without any warranty. The buyer accepts the vehicle in its current condition. This is standard practice for private sales and different from dealer sales which may include warranties. Our bill of sale includes this clause to protect the seller from post-sale disputes.

Do both parties need to sign?

Yes, both the buyer and seller should sign and date the bill of sale. Each party should keep a copy for their records. The buyer will need their copy when registering the vehicle at ServiceOntario.
